The weakest link in most virtual events isn't the platform or the encoder — it's the keynote speaker joining from a hotel room on Wi-Fi with a laptop microphone. Everything that follows is what we send to and check with every remote contributor, in the order that matters.
1. Connection first, everything else second
A wired Ethernet connection beats any Wi-Fi. If wired isn't possible, the speaker sits close to the router, and everyone else in the building stops streaming for the duration. We ask for a speed test from the exact spot they'll present from — we want at least 10 Mbps upload for a good HD contribution, and we want to know what happens when a second device joins. Phone tethering makes a good backup path, and we test it.
2. Audio is 80% of perceived quality
A wired headset or a USB microphone transforms a contribution; a laptop's built-in mic in an echoey room ruins it. Headphones are non-negotiable: without them the speaker's speakers feed back into their mic and the whole broadcast gets an echo. We send a short list of affordable USB mics and, for keynote-level speakers, courier a kit.
3. Camera, framing and light
Camera at eye level — a stack of books under the laptop is fine. Light in front of the face, not behind it; a window in front of them is the best free key light there is. Frame with a little headroom, eyes in the top third. The background should be tidy and, ideally, real — virtual backgrounds flicker at the edges and look like exactly what they are.
4. The environment
Door closed, notifications off, phone on silent, a note on the door. If they're presenting from an office, ask IT to whitelist the contribution platform in advance — corporate firewalls are the most common cause of "it worked at home".
5. Rehearse on the real kit
Every remote speaker gets a technical check on the same laptop, in the same room, with the same connection they'll use live. A "quick test from my phone" tells us nothing. The check covers audio levels, framing, screen-share if they're presenting slides, and the return feed so they can see and hear the show.
6. Slides: take them off the speaker's machine
Wherever possible we run presenters' slides from the gallery, on cue from the speaker. It removes screen-share bandwidth, prevents notification pop-ups on screen, and lets us hold the last slide if their connection drops. The speaker sees a return feed of their slides and simply says "next".
7. The night-before email
Join link, join time (30 minutes before their slot), the phone number of a human in the gallery, a one-line reminder of the kit checklist, and what to do if the link fails — usually a dial-in phone number as a last resort so their voice at least can be heard over a holding slide.
Rule of thumb: if a speaker hasn't been tested on their real setup, assume they will fail, and have a plan for it in the run order.
